Vehicle Repairs and Servicing

Overheads
Normal balance DebitExample

This Overheads code records the cost of vehicle repairs and servicing incurred in running the business. As an expense account, it normally carries a debit balance: debit entries increase the balance (recording new costs) and credit entries decrease it (for example, correcting an error or a refund received).

Real-world examples

Haulage or logistics (HGV fleet)

A haulage operator running HGVs faces a heavier maintenance regime than a car-based business: goods vehicles over 3.5 tonnes need an annual DVSA test rather than a standard MOT, and an operator's licence requires safety inspections at a set interval — commonly every six to ten weeks — regardless of whether anything looks wrong. A £4,500 inspection and repair invoice (£3,750 net) is a debit of £3,750 to 7301 (Vehicle Repairs and Servicing), a debit of £750 to 2201 (Purchase Tax Control Account), and a credit of £4,500 to 2100 (Creditors Control Account).

Taxi or private hire

A taxi or private hire fleet racks up far higher annual mileage than a typical company car, so servicing and repairs come round more often, and many local authorities also require their own periodic vehicle inspection as a condition of the operator's licence, separate from the standard MOT. The accounting entry is identical to any other repair invoice — it's simply repeated more frequently through the year.

Professional services (single company car)

A consultancy with one company car for a director sees this code used rarely — an annual service and the occasional tyre or brake job, invoiced at £360 (£300 net). That's a debit of £300 to 7301, a debit of £60 to 2201, and a credit of £360 to 2100 — the same pattern as the fleet examples above, just at a fraction of the frequency and scale.

Commonly confused with

Because code 7300 (Vehicle Fuel) sits right next to this one in Overheads, it's a common mis-posting target. Code 7301 is specifically for vehicle repairs and servicing, while 7300 covers vehicle fuel — similar in nature, but keeping them separate is what makes the overheads section of your management accounts meaningful rather than a single lumped total.

What a mis-posting here costs you

An error posting to Vehicle Repairs and Servicing won't change total overhead spend, but it will distort the overheads breakdown that's usually reviewed line by line each month to spot cost creep.
